This privacy statement discloses the privacy practices of Sprint Innovations Pty Ltd, a company registered in Victoria, Australia.

When we refer to “we”, “us”, or “our”, we mean Sprint Innovations Pty Ltd (ABN 39 670 484 321, ACN 670 484 321), the owner and operator of GuestTrack.

It is Sprint Innovations Pty Ltd’s mission to build users’ trust and confidence as Sprint Innovations Pty Ltd is committed to user privacy and would like to disclose our practices.

We may need to update this privacy policy from time to time, without prior notice. If it is changed, the changes will be posted at www.guesttrack.io so that you are always aware of the type of information collected, how the information may be used, and under what circumstances it may be disclosed by us.

We define “Personal Data” as any identifiable information about you, which may include your name, address, telephone number and email address.

Which regulations apply to the use of your Personal Data?

Sprint Innovations Pty Ltd is required to comply with various privacy laws in the jurisdictions in which we operate. These include:

  • The Privacy Act 1988 of Australia
  • Regulation (EU) 2016/679 (General Data Protection Regulation)
  • The Data Protection Act 2018 of the United Kingdom, which incorporates Regulation (EU) 2016/679 as the “UK GDPR”.
  • Privacy Act 2020 of New Zealand
  • Personal Data Protection Act 2012 of Singapore
  • The Personal Data (Privacy) Ordinance 1996 of Hong Kong

Information Collection and Use

Sprint Innovations Pty Ltd is the sole owner of the information collected. We will not sell, share, or rent this information to others in ways different from what is disclosed in this statement. Sprint Innovations Pty Ltd collects information from our clients and prospects via email, the GuestTrack website, the GuestTrack application, Zendesk, telephone, mail and various web services

Information is collected when a prospect or client:

  1. enquires about our software or services
  2. purchases any of our software or services
  3. provides feedback by any media
  4. completes surveys or replies to expressions of interest
  5. registers for Sprint Innovations Pty Ltd promotional events
  6. registers for hands on training, update seminars or webinars
  7. renews a software subscription or service subscription
  8. obtains any other service or product from us
  9. participates in special offers
  10. logs a support call
  11. uses support chat
  12. accesses our Internet site
  13. provides feedback through our website
  14. uses the Software
  15. provides feedback through the Software

Data files containing client information (and information of our clients’ clients) may also be collected to:

  1. assist with the resolution of software problems

Sprint Innovations Pty Ltd also collects

  1. visitor check-in information submitted through GuestTrack check-in forms (for example by scanning a QR code or through pre-registration), on behalf of the client operating the site. What is collected depends on the form the client has set up: typically the visitor’s name, contact number and email address, the person or company they are visiting, their answers to the client’s questions, and where the client asks for them a signature, a photo, uploaded files or the result of an identity check
  2. information about how the GuestTrack sign-up pages and management dashboard are used (such as clicks, scrolling and the pages viewed), recorded with Microsoft Clarity to help us improve the product. Text typed into forms, numbers and email addresses are masked before the recording leaves your browser, and visitor check-in screens are not recorded. Only certain employees from relevant departments have access to data stored in our web application GuestTrack.

What happens if you do not provide the information?

Should the relevant information not be provided, clients may be disadvantaged as they may not receive software and product updates, support calls may not be able to be resolved and information may not be provided to the correct person.

What does Sprint Innovations Pty Ltd collect and how is your information used by Sprint Innovations Pty Ltd?

We request information from the clients to provide you with a specific service. This may include details of special offers, updates to software, details of product training courses, update sessions and webinars, newsletters, new product information and other information of interest. Information collected may be in the form of email, website submissions, phone, face to face or mail. A client may provide information such as contact names, business name, contact number(s), mailing address and financial information like billing details. This information is used for billing purposes. If we have trouble processing payment, the contact information is used to contact the client.

Sprint Innovations Pty Ltd uses IP addresses to analyse trends, administer our website and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information.

Sprint Innovations Pty Ltd will send materials to clients by email and mail. If at any time you receive material that you did not request or do not want to receive such material anymore, see Correcting and Updating Your Profile below.

Data files are used by Sprint Innovations Pty Ltd to resolve software problems.

Visitor check-in information is used to provide the GuestTrack service to clients.

Who does Sprint Innovations Pty Ltd disclose personal information to?

Sprint Innovations Pty Ltd will not sell, rent, or trade any personal information or data files obtained from you without your consent.

Sprint Innovations Pty Ltd will only share your personal data with:

  1. A third party service provider and / or partner who you have authorised requires data from us to provide you a service, or
  2. Regulators and law enforcement bodies, or
  3. The provider of an AI assistant that you have connected to your GuestTrack account yourself (see AI assistants below), or
  4. Other entities where we have your consent.

The service providers that process personal data for us are named in this policy: Amazon Web Services (hosting), Stripe (payments), Zendesk (support), Google (email) and Microsoft (session recording).

Who does Sprint Innovations Pty Ltd disclose aggregated data to?

Sprint Innovations Pty Ltd may share unidentifiable aggregated demographic data with other organisations and may use the unidentifiable aggregated demographic data to provide clients with a better user experience.

AI assistants (Claude, ChatGPT and others)

GuestTrack can be connected to an AI assistant such as Claude or ChatGPT. Nothing is shared with an assistant unless a GuestTrack user connects it: they sign in to GuestTrack and choose Allow on a page that lists what the assistant will be able to do.

Once connected, the assistant can, for the projects that user has access to and within what their role allows:

  1. see the projects, their QR codes and their check-in forms
  2. read visitor records, including visitors’ names, contact details and their answers on the check-in form
  3. check a visitor in, pre-register a visitor, or check a visitor out

It cannot delete records or change projects, team members or billing. We send the assistant only what it asks for to answer the user’s request, and we do not use this data to train AI models.

What the assistant receives is then handled by its provider (for example Anthropic for Claude, OpenAI for ChatGPT) under that provider’s own terms and privacy policy. To stop sharing, disconnect GuestTrack in the assistant’s settings; any access it still holds expires as described in the next section. We keep a record of each visit an assistant adds or changes, as we do for changes made in the dashboard.

How long does Sprint Innovations Pty Ltd keep personal information?

  1. Visitor check-in records are deleted automatically after the retention period the client has chosen for the project: 14, 28 or 56 days on the free plan, and from 14 to 365 days, or until the client deletes them, on a paid plan. A client can also delete visitor records at any time.
  2. Account information (the names, email addresses and roles of a client’s users, and the client’s projects and settings) is kept for as long as the account is open. When a client asks us to close their account, we delete it and its remaining visitor records within 30 days.
  3. Billing records such as invoices and payment history are kept for 7 years after the transaction, as Australian tax and company law requires. Card numbers are held by Stripe, not by us.
  4. Support correspondence is kept for up to 3 years after the request is closed. Data files a client sends us to resolve a support issue are deleted once the issue is resolved.
  5. Session recordings made with Microsoft Clarity are kept by Microsoft for up to 13 months.
  6. An AI assistant’s access to an account expires 90 days after the assistant last used it, and no later than one year after the user allowed it; the sign-in tokens are deleted when they expire.
  7. Backups are kept for up to 35 days, after which deleted information is no longer recoverable.

Sprint Innovations Pty Ltd may market products and services to you that we think will benefit your business. These products and services may be from Sprint Innovations Pty Ltd or from our business partners.

You have the opportunity to opt out of Sprint Innovations Pty Ltd marketing.

How does Sprint Innovations Pty Ltd keep your personal information secure?

Sprint Innovations Pty Ltd takes every precaution to protect our clients’ information. When clients submit sensitive information via the GuestTrack website, the GuestTrack application or Zendesk, information is protected both online and off-line. When the GuestTrack registration / purchase form asks users to enter sensitive information, that information is protected.

Credit card payments made through GuestTrack are handled by Stripe which is a certified PCI Level 1 Service Provider. Sprint Innovations Pty Ltd does not retain credit card numbers.

Sprint Innovations Pty Ltd has security measures designed to protect against the loss, misuse and/or alteration of the information under its control.

Client and prospect information is maintained in our Zendesk system which is secured. Zendesk data is stored by Zendesk at multiple locations on the east coast of the USA. All client information is password protected. All paper files maintained are stored securely.

GuestTrack application data is stored with Amazon Web Services in Sydney, Australia.

Sprint Innovations Pty Ltd uses Gmail by Google and the Google suite of applications. This data is stored by Google at numerous locations throughout the world. Access to GuestTrack is secured by username, password and (where available) multi factor authentication.

All client data stored on our file servers is controlled by login names and passwords. Client data is deleted once the support issue has been resolved.

Changes to our Privacy Policy

If we decide to change our privacy policy, we will post those changes on our Website so our clients are always aware of what information we collect, how we use it and under what circumstances, if any, we disclose it. If at any point we decide to use personal identifiable information in a manner different from that stated at the time it was collected, we will notify users by way of an email.

Clients will have a choice as to whether or not we use their information in this different manner. We will use information in accordance with this privacy policy under which the information was collected.

Sprint Innovations Pty Ltd will respond to requests for client data from regulatory authorities, courts and law enforcement authorities where required under legislation or by Court Order. Sprint Innovations Pty Ltd will advise the client before releasing client data when it is permitted to do so.

Sprint Innovations Pty Ltd will respond to requests for client data from other third parties where the client has approved the release of the data or where Sprint Innovations Pty Ltd is required by Law to release the data. Where Sprint Innovations Pty Ltd is required by Law to release data to a third party, Sprint Innovations Pty Ltd will advise the client before releasing client data when it is permitted to do so.

This Privacy Policy does not apply to acts or practices of Sprint Innovations Pty Ltd that are directly related to employee records of current or former employees.

Accessing, correcting and deleting your information

Sprint Innovations Pty Ltd gives you the following options for accessing and modifying Information previously provided:

(a) You may gain access to Information that Sprint Innovations Pty Ltd has collected about you by contacting us by email at info@guesttrack.io. We will not charge you for responding to such a request, unless we incur costs in providing the information.

(b) You are able to change/update personal information through your GuestTrack account. You can also email Sprint Innovations Pty Ltd to change your data held by us at info@guesttrack.io.

(c) You may ask us to delete Information we hold about you by email at info@guesttrack.io. We will delete it within 30 days unless the law requires us to keep it (for example billing records).

(d) If you are a visitor who checked in at a site that uses GuestTrack, the site operator decides what is collected and how long it is kept. You can ask them, or us, for access to or deletion of your record; we will pass your request to the site operator and help them respond.

(e) You can disconnect an AI assistant from your GuestTrack account at any time in the assistant’s settings.

Complaints

If you have any concern about your personal information and how it is being handled by Sprint Innovations Pty Ltd, email us at info@guesttrack.io describing your concern. Sprint Innovations Pty Ltd will acknowledge receipt of your email within 3 working days. It is Sprint Innovations Pty Ltd’s duty to investigate any privacy matters and resolve it (make a decision) as soon as possible, however, in some circumstances, it could take us up to 30 days to reach a decision. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner and submit a complaint through their website.
